How a record comes to exist.

A batch record is the chain that connects a vial in your hand to an analysis of the material inside it. These are the steps, in order. A product can sit at any one of them, and the site says which.

  1. 01

    Lot assigned

    A finished lot is received and its lot number is recorded against the product. Until a lot exists the record reads Not yet released and the product cannot be sold.

  2. 02

    COA received

    The certificate of analysis for that lot is attached to the record, together with the lot the document itself states, its date, and which analyses it carries.

  3. 03

    Product and lot matched

    A person confirms the certificate maps to this product and this lot. A certificate naming a different lot is refused at the point of attachment.

  4. 04

    Required analyses reviewed

    The certificate is checked against the testing panel configured for that product — compound, strength and lot must match the vial, and every required analysis must be present.

  5. 05

    Internal review completed

    The review is recorded as approved or rejected. Approving the review is what publishes the certificate as current lot documentation.

  6. 06

    Supervisor release approved

    A supervisor authorises the release. The release action asks the gate whether the result is purchasable; where it is not, nothing is written and the outstanding conditions are named.

  7. 07

    Product becomes purchasable

    Availability is derived from the record on every read, and never stored on it.

Questions about a lot, document, order or specification are answered against the record by a person. Include the product, the lot number and the order number where you have them, and the reply will reference the same record you are asking about.
